Staying Organized for School Librarians

Have you ever heard the expression “I don’t know if I’m coming or going?“ Some days that is how I feel as a school librarian in the special subjects rotation. That’s why I created an anecdotal record that I keep in my computer drive and I update every single class every single day. I may be doing a similar activity with five sections of third grade, but I may not get to every part of the activity with every single section. That’s where the record comes in. 


I can keep track of what I am doing during any given period on any given day. This system has been a lifesaver for me. It is set up like a spreadsheet, but I created it as a Google doc using a table. You can customize it however you like. 


For example, my district runs on a six day cycle with letter days a through F. My school day runs from 8:15 to 3:15. Every single minute of my day is scheduled and accounted for as a part of the specials rotation. My anecdotal record reflects that. On the left, I have columns with the class name or duty and the time frame. Some days the duty takes place in different locations. I have one coverage duty that takes place in a different classroom every day of the cycle. I find that if I don’t write down where I am supposed to be on any given day, then I am on the wrong side of the building a half a mile away from where I am supposed to be.
